3PL and warehouse operators: Stock and dispatch visibility for 3PL and warehouse operators in India

Warehouses around Pithampur, Mandideep and Bhiwandi hold stock for many clients, and each client wants to know what is on hand today, not at month end. Nobody can say with confidence what is on the shelf, what is booked for dispatch and what can be billed to which client. Brandsmashers Tech is a Bhopal software team that builds custom systems fast with AI-assisted development.

Who this is for

This is for third-party logistics and warehouse operators in India, for example around Pithampur, Mandideep or Bhiwandi, who hold stock for several clients under one roof. You may have outgrown spreadsheets if a client's stock question takes far too long to answer. Inward entries are written on paper at the dock and typed up later. Dispatches are confirmed on the phone. At month end, someone rebuilds storage and handling charges for each client from scattered sheets, and the totals never quite agree with Tally or Busy.

Where the daily friction sits

Nobody can say with confidence what is on the shelf, what is booked for dispatch and what can be billed to which client. Most teams cover this with experience, which works until the one person who holds it all in their head is away. Spreadsheets and chat groups help, yet nothing is enforced or reconciled, and the owner finds out late.

What we build

A warehouse-lite system covering inward, stock, dispatch and billing. Goods received are logged against the client, stock is visible by location, dispatch orders reduce it, and storage and handling charges flow into billing. It is deliberately lighter than an enterprise WMS, built for operators who need control without a long rollout. Every 3PL bills differently, per pallet, per order or per day, so we build custom to match your client contracts. The first version is deliberately small and covers the part of your day that hurts most.

Software in use at 3pl and warehouse operators

The local picture

Indian 3PLs usually run Tally or Busy for accounts and a spreadsheet for everything else. We do not ask you to replace your accounting; the warehouse layer sits beside it and exports clean billing data. Clients can get a read-only stock view, and daily dispatch summaries can go out over WhatsApp. GST invoicing stays in your accounts software, which is the safer place for it.

Where AI helps, and where it stops

Pick-path suggestions. Given the open dispatch orders, the system proposes a sensible picking sequence through the warehouse. Pickers can follow it or ignore it, and your supervisor stays in charge. AI is an add-on to a sound system, not a replacement for it. Every output is reviewed by your people before it matters, and you can switch the feature off without losing the core system.

How a first version comes together

A first version for a warehouse operator follows the goods, from the dock to the shelf to the dispatch and finally to the client's bill.

  1. We walk the floor with your supervisor and accounts person to see how goods are received, where stock is put and how dispatch orders arrive.
  2. We agree the smallest useful scope, usually inward and stock by client and location, before dispatch and billing.
  3. Your dock staff and pickers test it on real inward and outward movements, and we fix whatever slows them at the screen.
  4. Billing rules per client, whether per pallet, per order or per day, are added next, with clean exports for your accounts software.
  5. A read-only client stock view, WhatsApp dispatch summaries and pick-path suggestions come once the core records are reliable.

Questions buyers ask

Do we need full warehouse management software for third-party logistics in India, or something lighter?
Many operators need something lighter. What we build covers inward, stock, dispatch and billing without the long rollout of an enterprise WMS. It is made for operators who want control and accurate client billing, and it can grow later if your clients or your ways of working demand more. We agree the scope with you before any build starts.
Will we have to replace Tally or Busy?
No. Indian third-party logistics operators usually run Tally or Busy for accounts, and we do not ask you to change that. The warehouse layer sits beside your accounts software and exports clean billing data. GST invoicing stays in your accounting package, which is the safer place for it. Your accountant keeps working in the package they know.
Can our clients see their own stock without calling us?
Yes. Clients can be given a read-only view of their own stock, so they see what is on hand today rather than waiting for a month-end statement. Daily dispatch summaries can also go out over WhatsApp. Each client sees only their own goods, never another client's. Access is set per client login, so you control exactly what is shared.
How do pick-path suggestions work on the floor?
Given the open dispatch orders, the system proposes a sensible picking sequence through the warehouse. Pickers can follow it or ignore it, and your supervisor stays in charge of the floor. It is an add-on that can be switched off without touching stock or billing records. Pickers who know a faster way are free to take it.
